Description:
Proposals for the following items were advertised, received, and opened by the Purchasing Services Department. The appropriate department has evaluated all proposals and forwarded their recommendation to Purchasing Services to be reviewed for compliance with Education Code Section 44.031 and School Board Policy.
This is a compliance proposal that will establish vendors and pricing for the repair of musical instruments for the Fine Arts Department and for individual schools. This is the first year of a renewable proposal.
Fine Arts Department Staff members have reviewed the proposals and recommend awarding multiple repair companies due to the high volume of repairs needed and a comprehensive repair list for all items.
Proposals were received from four vendors. Staff recommends awarding the three local vendors: Holze Music, Houghton Custom Horns and Williamson Music. Awarding to all three local vendors was necessary, since they did not each bid on every item. They have all assured a short turnaround time, competitive pricing, and regular visits to our campuses to pick up and deliver instruments. The fourth vendor, K.C. Strings, is located in Merriam, Kansas and bid only on the String Instrument Repair section. While they indicate that they would provide shipping, there would be additional time and risk involved in the transportation of the instruments back and forth. In addition, it would put an additional burden on District staff to prepare the instruments to be transported. Staff recommends that K.C. Strings not be awarded.

The Administration recommends that this Proposal be awarded to the following vendors:
Holze Music;
Houghton Custom Horns;
Williamson Music.
