12. #3734, Dispenser service/products for chillers, cappuccino, and coffee

Purpose: A - Request decision - closure required

Description:

Proposals for the following items were advertised, received, and opened by Purchasing Services. The appropriate department has evaluated all proposals and forwarded their recommendation to Purchasing Services to be reviewed for compliance with Education Code 44.031 and School Board Policy.

This is a compliance proposal that will establish an approved vendor for Dispenser Service/Products for Chillers, Cappuccino, and Coffee for Food and Nutritional Services (FANS) and Office Coffee Service for the District. This is the first year of a renewable proposal.

Requests for Proposal were sent to 33 potential companies. Two proposals were received. Of the two, ProStar Services, Inc. has a prior relationship with the District. Staff reviewed the proposals, vendors' questionnaires, checked references, and evaluated each company to determine the offers that present the best value to the District.

Staff does not recommend the award of Section I. FANS researched pricing with other districts that use a concentrated chiller product and found the price submitted in this proposal was considerably higher. No proposals were submitted for Section II. Staff recommends that ProStar Services, Inc. be awarded Section III and Section IV. Tab sheet is attached.

Recommendation:

The Administration recommends this proposal be awarded to the following: ProStar Services, Inc. - Sections III, IV & Discount Off Catalog Prices.

Estimated Value: $25,000.00 - FANS; $35,000.00 - Participating Campuses.
Budget/Financial Implication: FANS Operating Budget; Campus Activity Funds.
Evaluation Criteria: Purchase Price; Quality of Goods; Vendor's Reputation; Best Meets the Needs of the District.
