Board Agenda - April 04, 2006

4. #3720, Spring Creek Center air conditioning units

Presenter: Richard Matkin

Purpose: A - Request decision - closure required

Time: No time limit

Description:

Bids for the following items were advertised, received and opened by the Purchasing Department. The appropriate department has evaluated all bids and forwarded their recommendation to the Purchasing Department to be reviewed for compliance with Educational Code 44.031 and School Board Policy.

This is a compliance bid for the purchase of replacement air conditioning units for three computer rooms in the Spring Creek Center. Only one bid was received.

Building improvements required for moving the designated groups into the Spring Creek Center are primarily being done by in-house resources and existing vendors on bid. Acquiring the new HVAC equipment required soliciting bids. These units were bid in the same manner as other HVAC equipment, with the bidder providing the equipment and system start-up and the District providing the installation. Bids for the equipment were received on March 27, 2006. The sole bid submittal is from a reliable vendor. Staff and the design engineering consultant recommend acceptance of the bid from McMillan Choate and Associates.

Recommendation:

The Administration recommends that the bid for the purchase of three HVAC units be awarded to McMillan Choate and Associates in the amount of $54,068.00.

Business Impact:

Estimated Value: $54,068.00.
Budget/Financial Implication: Technology Bond Funds.
Evaluation Criteria: Price; Vendor Reputation; Vendor's History with the District; Quality of Vendor's Service; Best Meets the Needs of the District.
